Summary of position

The Operations Team Administrator works as a member of our Operations team, based in the UK. The team forms part of a small but rapidly expanding, energetic and ambitious Technology company; working within the Collections & Recoveries sector of the Financial Services Industry. Our clients range from Banks and Financial Institutions to Utilities and Telecoms companies. Our aim is to use our expertise to empower our clients with technology to improve their recoveries.

The Operations team manage the Suppliers and Partners who use our ExtraCollect product; liaising with our panel (Debt Collection Agencies, Enforcement, Insolvency practitioners and Law firms) to ensure outstanding collections performance whilst maintaining legislative compliance and adhering to industry best practice.

Key responsibilities

Reporting to the Senior Operations Manager the Operations Team Administrator will be required to work with other members of the Operations team to:

  • Manage the set -up of partners via the business online tool (Extracollect).
  • Manage incoming request and queues from Qualco Partners and internal teams
  • Work alongside and collaborate with Client Services to ensure processes and messaging are clear and aligned.
  • Manage Operations admin allocation process
  • Liaising with the IT department (raising and following JIRA tickets) to resolve problems
  • Monitor and file Partner contracts and other documents including key contract addendums (Schedule 3 process)
  • Review processes with internal stakeholders and develop processes for service improvements.
  • Strive for excellent customer service and relationships with Qualco partners
  • Act in accordance with the requirements of Consumer Duty

Required skills/experience

The ideal candidate will:

  • Ability to organise and prioritise work commitments and hit deadlines
  • Knowledge with Microsoft Office, particularly Excel
  • Strong written and oral communication skills
  • Excellent interpersonal skills and experience of working in a team
  • Good understanding of customer facing skills
  • Willingness to learn

The following knowledge would be beneficial:

  • Knowledge of the Collections & Recoveries Industry
  • Some understanding of Data Protection legislation and business Information Security requirements
  • Knowledge and experience of Compliance and Risk
